Mental healthcare company operating across 8+ US states (NY, NJ, CT, FL, MI, IL, IN, PA), offering psychiatric urgent care, therapy, TMS, and proprietary MicroTherapy™ sessions. What this product does

Patients book same-day or next-day appointments for psychiatric urgent care, therapy, or transcranial magnetic stimulation across eight US states. Some appointments are in-person at a clinic, some are video over Daily.co. Patients pay through insurance (Aetna, Cigna, Oxford, Medicare/Medicaid managed plans) or out of pocket via Stripe. Clinicians work the same scheduling and notes interface regardless of modality.

Architecture — why Phoenix LiveView

The product is workflow-heavy, not media-heavy. Booking a slot, rebooking, switching insurance, viewing a clinical note — these are stateful flows where every interaction needs server-side validation against insurance eligibility and clinician availability.

LiveView lets the server own the form state. No client-side framework. No duplicated validation logic. The roundtrip latency within US data centers is fast enough that the UX feels native.

Integration adapters

The product is only useful if patient records, schedules, and billing flow seamlessly between four external systems:

  • DrChrono — EHR for patient records and clinical notes. We wrote bidirectional sync (events from DrChrono webhooks; updates pushed via their REST API).
  • Active Campaign — CRM for patient lifecycle. Phoenix tagged events drove campaign automations.
  • Daily.co — telehealth video. Each appointment provisioned a unique room with auth tokens scoped to the patient + clinician.
  • Stripe — out-of-pocket and copay billing.

The integration layer was the unblocked path to multi-state expansion. Manual workflows wouldn't have scaled past two states.

Insurance verification

Verification is the dirty edge of US healthcare. Each insurer has a slightly different eligibility API (or in some cases, no API and a web portal). We built a unified eligibility layer with per-payer adapters and a normalized response shape consumed by the booking flow. Patients saw a single "covered" / "copay X" / "not covered" result; the layer below was a mess of payer-specific quirks.

Outcomes

Multi-state expansion shipped without scaling the support team proportionally. 450+ five-star reviews. The platform became the common substrate for booking, telehealth, and billing across all modalities — clinicians no longer juggled three apps.
